Need to plan a meeting that will WOW your team – and especially your boss? The crew at Old Trail Club has your back. Let us help you mark this important task off your To Do list. Below are our top five tips: 

1. Plan at least 2 months in advance. Planning 6 months or earlier is best.

Have key details ready to discuss when looking at meeting spaces. These include the expected number of people attending, start time, end time, food and beverages needed, set-up and space needs. Note: if you're reading this and recently been charged with planning a pop-up event, reach out - we can help.


2. What type of flow do you envision?

Your "flow" describes how you want your group to gather, and for what purposes, and for how long. Your flow can also describe your set up needs, timeframe, meals needed, and the way you are presenting information. Will you need break-out spaces? Basic room set-up styles can be described as Banquet, Theater, and Classroom style.


3. Anything Extra?

This might include AV, tables (round or rectangular), podiums, easels, and even music. And don't forget lighting – will you need lights on or off during key AV moments?


4. Make your networking work for you

Whether it's an open bar with a taco bar, or a fancy dinner buffet with a carving station; remember that an in-person connection will be something that lasts long after the meeting is over.


5. Make time for fun
